The 'Cash Drawer Balance' feature tracks each sales person's sales balance in real time and determines how much cash should be in the till at any time.
An employee starting a shift clicks on Start/End Shift (in the Sales menu). The Shift Recap Form opens. Enter the starting amount in the till and click 'Continue'. Any time during the shift, the employee can reopen this screen to view the balance and click 'Continue' when finished. Open this screen at the end of the shift and balance the till against the total shown. Click on 'Close Out' to return the balance to zero in preparation for the next shift.
It is possible for more than one employee to use PPSS at the point of sale. All employees can track balances separately at the same time, logging in back and forth as need throughout the day. At the end of day, separate totals are available for each employee when logged in. Totals for an employee will not show when that employee is not logged in. The 'On Shift' drop-down box shows which employees are being tracked. If employee log-ins are not enabled, this drop-down box will show 'Store Owner' when it is tracking sales. It will be blank when not tracking sales.
PPSS is configured to function properly with the Logic Controls CR3000E cash drawer and the Epson TM-U220 Receipt Printer. These items are shipped complete with required power supplies and cables. If different hardware is to be used with PPSS, tech support can configure PPSS to work with the hardware ($100 fee).
Installation
The drivers for the cash drawer were installed during the PPSS installation.
To install the receipt printer drivers, connect the printer to the computer and turn both on. Navigate to the PPSS folder in C:\Program Files. Select the file 'receipt printer driver ADT210E.exe'. Make two choices: Operating System and module (Epson TM-U220A receipt).
The receipt printer and cash drawer are integrated and connected by cable. When the printer finishes printing a receipt, it opens the cash drawer automatically. There is also a button in the PPSS Top Tool Bar which opens the cash drawer.
Included with the printer is a roll of single ply paper for setup and testing. The printer can print two-ply - one copy for the customer and a retained copy that rolls up inside itself for end-of-day reconciliation.
PPSS detects receipt printer and document printer. If it finds both and they are installed correctly, connected and turned on, PPSS will send sales receipts to the receipt printer and documents to the document printer.
Important! Go to Control Panel, Printers and Faxes and delete all printer drivers not being used. Windows Fax Driver and QuickBooks Intuit Driver can interfere with printing. Printers installed in the control panel that are not actually connected or available on the network will cause a problem. PPSS will not be able to detect this and will believe that the printers installed in the control panel reflects reality.
The receipt printer plugs into a parallel port in the back of the computer. Some document printers will use a serial port and some will use a parallel port. Some computers have two parallel ports and some do not. If the POS computer has only one parallel port, the document printer will have to be connected to a serial port. The document printer will need to be connected to another computer on the network. If the document printer is available through the network, it can be installed on the POS computer and PPSS will be able to print documents through it. Otherwise, the POS computer will be able to print only receipts.
If PPSS does not detect a document printer either locally or through the network, it will give an error if the user tries to print documents. If the user has selected the receipt printer option in PPSS Program Setup and no receipt printer is installed, PPSS will give an error when trying to print receipts.
Printer Drivers: The receipt printer does not come with drivers. Run ADT210E.exe in the PPSS folder (C:\Program Files\PPSS) to install the printer drivers after connecting the printer to the computer and turning both on. This will install the printer in Windows. It is not necessary to open the printer part of the control panel to install drivers.
